Clockify recently capped its free tier at five users, pushing growing agencies into monthly per-seat subscriptions to track their billable hours. Kimai puts the entire time-tracking database on your own server, completely decoupling your headcount from your software bill.

Why Kimai instead of Clockify

Kimai runs as a self-hosted PHP and MySQL application, avoiding the data lock-in and per-user pricing that come with SaaS tools like Clockify and Harvest. From an operations perspective, the difference is who holds the database. When you run Kimai, you own the infrastructure, making it straightforward to comply with strict privacy requirements or client contracts that prohibit storing billable hours on external servers. The trade-off is ongoing maintenance: while Clockify handles all the backend work and updates for you, Kimai requires you to deploy a web server, manage backups, and monitor uptime yourself.

For an agency with a fluctuating roster of contractors, the operational math shifts heavily toward self-hosting. Adding ten freelancers to Hubstaff or Time Doctor means an immediate jump in monthly costs and negotiating new license seats. In Kimai, adding users, setting granular permissions for contractors, and defining customer-specific hourly rates is a database insert that costs nothing extra. You trade the convenience of a managed cloud service for complete control over the deployment and the long-term software budget.

What it does well

Tracks time via punch-in/punch-out or manual entry, mapping directly to specific customers, projects, and activities.

Supports detailed user roles and team permissions, allowing agencies to limit what contractors can see across different accounts.

Limitations

Cannot be hosted in a subdirectory; the application requires its own dedicated domain or subdomain to route assets correctly.
